ROLES OF
Leaders
President
The President shall:
- Have the power to establish and maintain operational procedures of the ministry.
- Call and preside at all sessions of the regular and additional meetings.
- Call and preside at meetings of the Executive Board.
- Answer for all actions of the other officers.
- Represent the ministry at functions/meetings the ministry has been invited to.
- Be able to vote in all decisions affecting the ministry.
- Act as a spokesperson for the ministry where necessary.
- Approve all routine expenditures and bring other expenditures to the Executive Board for approval.
- Delegate power to the vice-president.
vice president
The Vice President shall:
- Serve in the president’s place in case of absence.
- Lead, guide, direct, and evaluate the work of other officers, and ensure a healthy environment for productivity.
- Evaluate the success of the ministry in achieving its goals and formulating plans to correct any issues for effectiveness.
- Manage the daily operations of the ministry and ensure its continual growth.
- Be aware of any opportunities the ministry can leverage and pursue.
- Serve as the Chairman of the local organizing committee (LOC) for events organized.
- Weekly departmental report to the president.
secretary & vice
The Secretaries shall:
Patience
- Keep an accurate and detailed record of all proceedings of the regular and the Executive Board meetings.
- Keep a record of all correspondence as necessary for the operation of the ministry.
- Prepare the agenda for meetings of the ministry in consultation with the president.
- Coordinate with other ministries/organizations.
- Carry out the disciplinary actions to the officer in question.
- Be the third-in-command; chair meetings in the absence of the president and vice president.
Octavia
- Maintain the membership list.
- Collect and circulate any relevant information/announcement within the groups.
- Coordinate the preparation and distribution of the ministry’s flyers, booklets, etc.
- Be the fourth-in-command; chair meetings in the absence of the president, vice president, and secretary.
- In the absence of the secretary, the vice keeps an accurate and detailed record of all proceedings of the regular and the Executive Board meetings.
Treasurer & Vice
The Treasurers shall:
- Supervise the financial affairs of the ministry.
- Keep proper accounts that show all monies collected and paid out by the ministry.
- Receive and distribute funds upon the authorization of the president and/or the Executive Board.
- Present regular reports on the ministry’s financial position at all regular and Executive Board meetings.
- Coordinate all fund-raising activities of the ministry.
- Ensure that appropriate financial systems and controls are in place.
- Prepare and present budgets for new or ongoing work.
- Ensure everyone handling money keeps proper records and documentation.
- Collect dues and give a monthly update.
Prayer Coordinators
The Prayer Coordinators shall:
Division 1
- Coordinate and facilitate all the prayer meetings.
- Ensure that people leading prayers are on time (5 mins before prayer time) and follow the prayer format.
- Identify and bring on board a variety of prayer tactics and best practices to consider.
- Delegate responsibilities to team members.
- Request and distribute prayer request to the prayer team.
- Ensure confidentiality and check-up on the prayer requests.
- Follow-up and encourage the people who keep to their prayer assignment.
- Plan and organize special prayer events, trainings, webinars, etc for the ministry.
- Weekly report to the vice president.
Division 2
- Send prayer reminders – both morning and Saturday prayers to the WhatsApp platform.
- Assist zone leaders in addressing needs or problems arising in their zones.
- Communicate with the prayer zone leaders to pass on relevant information or activities to their various zones.
- Checking up on zone leaders for weekly regular updates.
- Help prayer zones grow and maintain the membership.
- Help open more prayer zones.
- Weekly report to the vice president.
Prayer zone leaders
The prayer zone leaders shall:
- Organize and supervise meetings in their respective zones.
- Account to the prayer coordinator on progress and activities in their zones every week.
- Keep all their membership list current to pass on to the next zone leader.
- Identify needs or problems in their zone and discuss with the prayer coordinator on ways to address them.
- Ensure that the zone understands the vision and mission of the ministry.
- Report any member from the zone who violates the rules and regulations of the zone and the ministry.
- Regular check-up on members in their zones.
Music Coordinators
The Music Coordinators shall:
Division 1
- Plan and schedule all ministrations of the music department.
- Select and/or approve song selections for ministrations during programs.
- Ensure that the choir put in their best.
- Be responsible for all the administrative details of the group.
- Ensure that people leading music are on time (5 mins before) and follow the prescribed format.
- Identify and bring on board a variety of tactics and best practices to consider.
- Lead the rehearsals and ministrations or appoint someone to do so.
- Plan and organize special musical events for the ministry.
- Weekly report to the vice president.
Division 2
- Communicate with the group leaders to pass on relevant information or activities to their various groups.
- Checking up on group leaders for weekly regular updates.
- Help music groups grow and maintain the membership.
- Assist group leaders in addressing needs or problems arising in their groups.
- Ensure that people leading music are on time (5 mins before) and follow the prescribed format.
- Help open more music groups.
- Weekly report to the vice president.
Music Group leaders
The music group leaders shall:
- Organize and supervise meetings in their respective groups.
- Account to the music coordinator on progress and activities in their group every week.
- Keep all their membership list current to pass on to the next group leader.
- Identify needs or problems in their group and discuss with the music coordinator on ways to address them.
- Ensure that the group understands the vision and mission of the ministry.
- Report any member from the group who violates the rules and regulations of the group and the ministry.
- Regular check-up on members in their groups.
Publicity / Media Coordinator
The Publicity / Media Coordinator shall:
- Coordinate and facilitate all the ministry’s social media profile and presence.
- Communicate with the department leaders to pass on relevant information or activities to their various departments.
- Checking up on department leaders for weekly regular updates.
- Help departments grow and maintain the membership.
- Assist department leaders in addressing needs or problems arising.
- Plan and organize special events, trainings, webinars, etc for the ministry.
- Develop content for broadcast, and online distribution channels.
- Act as co-host during ministry activities as needed.
- Plan and execute publicity strategies and advertisements to promote the ministry and its activities.
- Manage the interaction of the ministry with other ministries, media, and the public.
- Weekly report to the vice president.
Publicity / Media Leaders
The publicity/media leaders shall:
- Organize and supervise meetings in their respective departments.
- Account to the media coordinator on progress and activities in their department every week.
- Keep all their membership list current to pass on to the next department leader.
- Identify needs or problems in their department and discuss with the media coordinator on ways to address them.
- Ensure that the department understands the vision and mission of the ministry.
- Report any member from the department who violates the rules and regulations of the department and the ministry.
- Regular check-up on members in their department.
- Serve as co-hosts during ministry activities as needed.
A Blissful Touch Coordinator
The ABT Coordinators shall:
- Coordinate and facilitate all the ministry’s hospitality arm activities.
- Communicate with the ABT leaders to pass on relevant information or activities to their various department.
- Checking up on ABT leaders for weekly regular updates.
- Help ABT departments grow and maintain the membership.
- Assist department leaders in addressing needs or problems arising.
- Identify and bring on board a variety of hospitality tactics and best practices to consider.
- Delegate responsibilities to team members.
- Ensure confidentiality and check-up on the member’s needs.
- Follow-up and encourage the people who keep to their prayer assignment.
- Plan and organize special events, trainings, webinars, etc for the ministry.
- Help open more hospitality arms for the ministry.
- Weekly report to the vice president.
A Blissful Touch Leaders
The ABT leaders shall:
